Procter Summer Camps Policies |
COST
A $100 deposit must accompany each registration. Please use one form per camper, per session. Fees are fully refundable if your child is not placed in a camp due to space limitations.
All Camps cost $200 per student, scholarships are available.
You may receive a refund of 80% of all fees, providing you cancel at least one month before the session starting date. |
SCHOLARSHIPS
It is the Policy of the Episcopal Diocese of Southern Ohio that no child will be turned away from Procter for financial reasons. Please contact the Camp Director for more information. We would like to operate on a 1/3 scholarship principle, that the participant, participant's church, and Diocese each pay $67.00 of the cost for camp. This way we can spread our limited scholarship funds broader to multiple campers. |

HEALTH FORM
A health form must be completed and returned prior to the beginning of the camp session. No camper will be admitted without a completed form.
IF YOU ARE AN ADULT, then you must complete the adult camper health form and return it with your registration fee.

ACKNOWLEDGEMENT
Acknowledgement of registration and further camping instructions will be mailed to every camper. Until instructions are received, your cancelled check is your confirmation. |
LIABILITY
The Diocese of Southern Ohio will take every precaution to ensure the health and safety of all campers. However, by signing the registration form, parents and/or guardians acknowledge that the Diocese and Procter Conference Center will not be responsible for the personal injury or loss of property, however occasioned. |
VISITING POLICY
Phone calls to and from home are not permitted unless there is an emergency. Unscheduled visits from parents are not permitted. Although visits are made with good intentions, these visits make homesick campers moreso. |
WHAT TO BRING
Bring sufficient quantities to cover all the days at camp! There are NO laundry facilities at Procter.
Please mark all items clearly with the camper’s name:
sleeping bag (a MUST for youth weeks) OR sheets (twin) for Family Camp, pillow & pillow case, t-shirts, sweatshirt, raingear, closed toe shoes, walking shoes, shorts/jeans, laundry bag, socks, pajamas, underwear, swimsuit, bath towel, beach towel, sunscreen, mosquito repellant, toiletries, Bible, reading material for quiet time, notebook, stationery & stamps, camera and film, whatever you need for talent show, Nalgene-like water bottle with screw- on top(clearly marked with camper’s name) |

pets, weapons, firearms, fireworks, knives, tobacco products, alcohol, illegal drugs, radios, walkmans, electronic games, TV’s, cell phones, pagers or computers. They WILL be collected and kept until the session is complete. |
| Rules and Regulations: |
It is imperative that camp runs smoothly and safely for all, in terms of body, mind and spirit. Any infractions to the rules and regulations diminish the camping experience, not just for those who are the violators but for all. Campers have been sent home in the past and will be in the future for infractions of camping rules and regulations, which is necessary, but highly disruptive to the entire camp community. So please be familiar with the rules and regulations set below.
- Camp Staffers are responsible for the wellbeing of each camper. They are in charge and they are a part of the authority framework of this camp. They have every camper’s best interest at heart, and must be listened to and obeyed without issue. If a camper has a problem with this authority, they shall be sent to the Director of the camping program and given a warning with a phone call to their parents or guardians. If there is a SECOND offense, they shall be sent home immediately. The smooth operations and safety of the camping program hinges on the cooperation of all.
- Candles, matches, lighters, fireworks, or any item that create an OPEN FLAME or potential fire hazard are PROHIBITED. If such articles are found, they will be confiscated and given to the Director for proper disposal. This is mandated by the local Fire Department.
- Campers may NOT leave the main camp area unless accompanied by staff members as part of a scheduled activity. They may not ride in staff personal vehicles without a signed permission slip from their guardians.
- Campers may not SNEAK OUT at night! A FIRST offense will result in a warning and meeting with the Director PLUS a PHONE CALL HOME. A SECOND offense will result in being sent home immediately. The camper must understand that this is for their OWN SAFETY. If we cannot trust them to STAY IN at night, we cannot take the liability of having them at camp.
- CONDUCT AND CONVERSATONS of campers must be that which they would have in front of any responsible adult in charge. All discussions at all times need to be appropriate. Suggestive conversations can lead to end outcomes which may get the camper immediately dismissed, despite a he said/she said situation. This includes, but is not exclusive of, discussions about sex and sexuality, and hands placed in inappropriate places.
- Campers may not write on or otherwise damage buildings, tents, equipment of any kind, nor may they carve on trees. Guardians of campers causing avoidable damage WILL BE BILLED for the cost of repair or replacement. The charge for ANY DAMAGE is determined by the EXECUTIVE DIRECTOR of Procter Camp and Conference Center.
- All personal spending money should be checked-in with the Camp Director on opening day. No money is to be in the cabins/tents. The camp WILL NOT be responsible for any money kept by a camper.
- Campers are not permitted to have radios, CD/tape players, iPods etc. Their counselor should collect any electronics at the beginning of each session. As the week continues, the electronics MAY BE distributed during FOB according to the campers’ behavior, and the Director’s permission.
- Campers are only permitted to make/receive phone calls on an EMERGENCY basis. There are NOT to be unscheduled visits by parents or guardians.
- During the afternoon rest hour (FOB) campers are to remain in their own rooms quietly. In addition, the must observe whatever special FOB regulations have been established.
- Campers are not allowed to have drinks or food- INCLUDING GUM and CANDY, in their cabin. This is not to be sent in care packages either.
- There are to be NO cell phones in the camper’s possession at any time. Leave them HOME!
